Dear Flyer Families,
Welcome back. We're looking forward to a great season! You are the backbone of the club and we need your support and help to keep things running smoothly. Everyone working together builds a strong family and provides great role models for our children. It's always fun to be out there with our children participating, supporting, and cheering them on.
Please review schedule of mandatory shifts your team manager/coach will be emailing to you. These must be completed to receive your Volunteer Deposit refund at the end of the season.
The first event is mandatory for EVERYONE - Veterans and New Members. It will help create a cohesive team at each event and our veterans can be a great source of information to our new families.
Schedule conflicts: If you know of any conflicts with the meet dates, please indicate this on the google document, so I can try to work with you to help you meet all the requirements. If you are scheduled and have an unexpected event that prevents you from attending that shift, please find a replacement to ensure the event doesn't run short handed.
Interested in doing a double shift,in one day, please indicate as well so I can check availability. I already have some families who can't make a certain day and would like to work a whole day to get their shifts completed. It would be helpful to have a pool of people who can do double shifts to offset the families that have conflicts on certain day and need to double up their shifts on other days.
If you're having trouble finding someone to cover, contact your team manager immediately to send out a team/club email requesting coverage. We'll do everything we can to help you, but please reach out ASAP to give enough time to find a replacement.
Although we hope all our families will participate and model great team work for our athletes, we understand that some people have multiple commitment,s that conflict with track, and make it very difficult to volunteer at the meets. Please let us know right away and we can try to work something out.
If you know that you absolutely can't volunteer, please indicate that you will be forfeiting your deposit. That money will be used to hire help to fill vacant positions, so our meets can run smoothly, and the athletes have the best experience possible.
Volunteer Requirements for Deposit Refund at the end of the season!!
1. Volunteer Training - March 4th 10-12 This is mandatory for ALL families-old and new!!
A representative from each family must attend training. Attendance will be taken at each station, so be sure to stay for the whole event. We will be cross training everyone at each event, by Event Coordinator.
Included in Training: Meet flow Number of volunteers needed at each event Event check in times Protocol for check in and check out at Volunteer tent and your event (to get credit for shift) Protocol for going to watch your child's event Set up of event & equipment needed Different jobs to be done Flow of the event Scoring and Turning in results Hands on Experience Clean up of event
2. Home Meet - March 11th
3. Home Meet - March 25th
4. Home Meet - April 1st
NOTE: If your child participates in the Invitational Event on the weekend of April 8 & 9, the League Finals, Championships, and Co-conference, you will be expected to volunteer that these. THESE ARE EXTRA!!! You will be expected to help out at these meets, but the jobs are minimal and easy.
Please complete the Availability Form your team manager will be sending out, ASAP, so I can set up the schedule and post it. Please feel free to email if you have any questions that your team manager is unable to answer.
